ASG-Cypress Report Distribution Manager

With ASG-Cypress's Report Distribution Manager (RDM) module, you are able to establish automatic document handling procedures specific for your orgainization. RDM logic is installed as a device in ASG-Cypress, making it accessible as a printer, through the Personal Imaging module, and from other RDMs. RDMs provide the following functionality. Please note that some functionality may depend on the purchase of additional modules.

Reading metadata from documents

RDMs can make use of many sources of data in a document. Among others, RDMs can extract data from documents using the following methods:

• Reading data and commands (embedded as specially formed text) from the document
• Reading normal text from regions of a page
• Using the source of the document (e.g. print job name, fax DID number, etc.)

Breaking a document into smaller documents

Many documents produced by an organization may actually be more appropriately broken into smaller documents. For example, an invoice report may print the complete invoice batch as one large document. For distribution purposes, this document may needs to be broken by customer or by invoice number. An RDM gives you the power to break a document based on the criteria you specify.

Indexing a document for later retrieval

RDMs can be used to automatically index a document. You choose the indexes, and you choose which values are used for the indexes on a document. When the time comes to retrieve documents, these indexes can be used to specify which documents should appear.

Distributing a document automatically

A powerful feature of RDMs is the ability to automatically send documents to e-mail addresses, fax numbers*, printers, and recipients in ASG-Cypress's own inbox system. Each document can have different recipients and multiple recipients. Additional information specific to the means of transmission can also be included, such as an e-mail subject line, e-mail body message, or fax body message.

Setting document security and retention

Different documents may require different security settings and retention times. An RDM can be used to set these automatically based on data gathered from the document.
